It also explains what our purpose is when we process this information and your rights surrounding this.

How do we categorise your data and how long do we keep it?

 

For any guest who dines at our restaurant the following options will be provided to the guests and followed accordingly.

Any customer who Does NOT provide an email address when making a reservation and dining at one of our venues will remain on our database for service reasons only.

This will be so that when a guest revisits any one of our restaurants we are in a better position to provide you with a more efficient service, especially at the stage of making a reservation.

 

It is in our legitimate interest to use your personal information to provide the services you have requested from us and where it is necessary for the performance of any contract that we have with you.

 

Any customer who HAS provided an email address will receive an email after visiting our restaurant to enquire as to whether or not they would like to provide us with feedback and/or receive marketing information from us.

Any customer, whether opted in or not to any of our services, who has not visited a Parogon pub group restaurant for 2 years will be removed from our database.

 

 

What personal information do we collect and how do we use it?

 

We collect and use your personal information in a variety of ways, for example, to provide you with the Services that you have requested from us such as making a table booking or to send you marketing.

We have set out below the ways in which we collect your personal information and the reasons why we use it.

 

Fulfilment of Services.

We collect and maintain personal information that you voluntarily submit to us during your use of the Site and/or our Services. For example, when you request to book a table, purchase a gift card, or log on to our Wi-Fi in our restaurants.

 

In providing the Services, we may collect the following types of personal information:

  • title, first name and surname
  • email address
  • contact telephone number
  • Sensitive information such as allergies or restrictions to movement
  • address or geographic location
  • payment information
  • gender
  • device used and basic Facebook profile (where logging onto Wi-Fi)
  • Restaurant preferences; favourite wine/table etc.

 

It is in our legitimate interest to use your personal information to provide the services you have requested from us and where it is necessary for the performance of any contract that we have with you.

Sensitive information

If a customer informs a restaurant, verbally or electronically of sensitive data to be used for the fulfilment of our services, such as an allergy that we should be aware of when producing food or a restriction to movement that may affect where a guest can access within a restaurant. Then this data will remain attached to a customer profile for as long as the customer remains a part of our Data kept for service reasons.

This information is ONLY accessed and used for service reasons and will never be shared with a third party or used for marketing reasons.

 

Customer services

Our Site and our restaurants allow you to request information about our products and Services or make a complaint about any of the Services. Your name and contact information may be requested in each case, together with details of other personal information that is relevant to your customer service enquiry. This information is used in order to enable us to respond to your request or complaint.

It is in our legitimate interest to use your personal information in such a way to ensure that we provide the very best customer service we can to you.

 

Your feedback about our products and services.

From time to time we will ask you to provide feedback about our products and services in the form of a survey. We collect the following types of personal information:

We analyse your contact details with other personal information that we observe about you from your interactions with our Site, our email communications to you and/or with our products and services in our restaurants, such as the products and services you have purchased or viewed, or from your use of our restaurant Wi-Fi.

 

By using this information, we are able to measure the effectiveness of our content and how visitors use our Site and our Services. This allows us to learn what pages of our Site are most attractive to our visitors, which parts of our Site are the most interesting and what kind of offers website visitors like to see.

From time to time we run prize draw promotions or competitions either online or in our restaurants which you can enter or games or quizzes on our Site or in our restaurants that you can play. We may collect the following types of personal information:

To assess your suitability for any position for which you may apply to us whether such application has been received by us online, via email or by hard copy or in person application or through a third party recruitment agency.

All employment related decisions are made entirely on merit.

 

Where we use your personal information in connection with recruitment it will be in connection with us taking steps at your request to enter into a contract we may have with you or it is in our legitimate interest to use personal information in such a way to ensure that we can make the best recruitment decisions for our Restaurants.  We will not process any special data except where we are able to do so under applicable legislation or with your explicit consent which shall be obtained at the time we collect your personal information following the instructions provided.

 

Any other purposes for which we wish to use your personal information that are not listed above, or any other changes we propose to make to the existing purposes will be notified to you using your contact details.

How long do we keep your personal information for?
Regarding personal information, we have processed in connection with the supply of our products and services to any customer, we will retain personal information relevant to that supply of products or services for six years from the date of supply and in compliance with our obligations under the EU General Data Protection Regulation (or similar legislation around the world). We may then destroy such files without further notice or liability.

Regarding any other personal information, we have processed, we will retain relevant personal information for a period of two years from the date of our last interaction with you.

If you have opted out of receiving marketing communications from us, we will need to retain certain personal information indefinitely so we do not send you marketing communications again.

If your information is only useful for a short period e.g. for specific marketing campaigns, we may delete it at the end of that period.

Your right of access.

We may make changes to this Privacy Policy from time to time.

However, we encourage you to review this Privacy Policy periodically to be informed of how we use your personal information.

Information for our Employees

We store employee data to ensure:
• We can provide authorities with evidence our workforce our legally entitled to work in the UK
• Appropriate payments can be made for time worked
• Training is being provided as desired
• All aspects of our Employee Handbook are being adhered to
• All aspects of our Employee Safety Handbook are being adhered to

Internal/External Marketing
As a new employee starts employment we include the option to opt in to be part of future internal or external marketing campaigns, in particular this includes the use of our team member’s images. These images will remain in circulation for a period of 20 years.

Internal Promotions
We will not share employee data with any external companies for marketing reasons.
As part of our commitment to providing all employees with access to benefits available to them through working for one of our restaurants we may circulate offers that are exclusively available to them.
This will only be sent via an internal email address and is done in the best interest of our employees.

Training
All employees receive training on the importance of Privacy and our Privacy Policy.
Employees will ONLY have access to data that allows them to complete their role/service.
There are several access levels to our data that is managed by passwords and permissions which allows us to ensure that we are respecting the privacy of our employees and guests.
